Set vehicle reminders

Open Vehicle Management and select Reminder settings. Choose the emails you want to receive, then select Save settings.

You can subscribe to MOT, tax, insurance and service reminders, plus Unauthorised movement alerts. Admins and Owners can also manage these subscriptions for other workers through User Management.

Expiry reminders

Clockwork checks the dates daily and sends reminders 30 days and 7 days before each saved expiry or service date. Keep those dates up to date after a renewal or service.

A missing date cannot trigger an expiry reminder. Archived vehicles are excluded, and vehicles marked SORN do not receive tax reminders.

Unauthorised movement

For a tracked vehicle classed as Do not use, Clockwork records a reference location and checks for movement. A reported move of at least 100 metres from that position can trigger an email to the primary driver and staff subscribed to Unauthorised movement.

Checks are scheduled every five minutes and depend on available GPSLive data. The alert is sent once for a continuous period of restriction, so it is not a running journey log.

When an alert arrives, check the vehicle, its stored status and the reported locations with the driver. Update the register when the issue that caused the restriction has been resolved.
